3. Step 2: Company Profiling & Free Credits

To adhere to telecommunication regulatory standards and prevent spam or fraudulent activities, every registered user is required to complete their Company Profile before sending outbound SMS.

Why Company Profiling is Required:

  • MCMC Compliance: Telecommunication regulations in Malaysia mandate that SMS traffic be traceable to verified legitimate businesses.
  • Claim RM5 Free Testing Credit: Upon successfully saving your company profile, our system will automatically debit RM5 free credits into your account so you can test sending live SMS immediately.
  • Billing & Invoicing: Ensures all future tax invoices and receipts are accurately generated under your company’s legal entity.
Steps to complete profiling and claim free credits:
  1. Log in to your account and look at the main dashboard notification banner.
  2. Click on Complete your profile (or click the blue banner Claim your FREE credit now).
  3. Fill up your business particulars, including:
    • Company Name (Registered legal business entity name)
    • Business Registration Number (ROC / ROB / SSM number)
    • Company Address, city, state, and postal code
    • Person-in-Charge (PIC) name and direct mobile number
  4. Click Save. The system will validate your information and automatically credit RM5 testing credits to your balance.

4. Step 3: Sending Normal Bulk SMS

This video demonstrates how to complete your profiling, claim your free credit, and send your first Normal Bulk SMS campaign.

What is a Normal SMS?

A Normal SMS delivers identical message content to single or bulk recipients (up to 10,000+ recipients per blast). It is ideal for marketing promotions, company announcements, service alerts, and holiday greetings.

Steps to send Normal SMS:

  1. Navigate to SMS Server > Send Normal SMS from the left sidebar.
  2. Sender ID: In Malaysia, custom alphanumeric Sender IDs are subject to telco pre-registration. Standard SMS routes operate via approved shared shortcodes, so Sender ID selection is automatically configured.
  3. Recipient Mobile Numbers: Input or paste the recipient phone numbers. Always include country code without symbols (e.g. 60123456789 for Malaysia). Separate multiple recipients with commas or newlines.
  4. Message Content (MCMC Brand Name Rule): Compose your text message. Under Malaysian telco guidelines, promotional SMS must start with your registered brand name (e.g. RM0 BrandName: Your promotion text here).
  5. 1-Minute Safety Cancellation Window: Click Send Now. The system automatically places the campaign into a 1-minute scheduled delay buffer. If you discover a mistake in your content or recipient list, you have 60 seconds to navigate to the queue and cancel/delete the job before it is dispatched to telco networks.

5. Step 4: Personalised SMS & Excel Dynamic Data

This video demonstrates how to create message templates, prepare an Excel spreadsheet, and send personalised SMS messages tailored to each customer.

What is a Personalised SMS?

A Personalised SMS dynamically merges recipient-specific parameters (such as Customer Name, Appointment Date, Outstanding Balance, or Voucher Codes) into predefined message templates, ensuring high relevance and customer engagement.

Phase A: Create SMS Message Template

  1. Navigate to SMS Service > Message Templates and click Create New.
  2. Select message type: SMS Personalised Message.
  3. Enter a descriptive Title (e.g. Appointment Reminder or Payment Notice). This title is for grouping and tracking in campaign reports.
  4. Compose your message body using single curly brackets for dynamic parameters, e.g.:
RM0 Clinic360: Hi {1}, your appointment is scheduled on {2}. Please reply YES to confirm.
  5. Click Save Template to save.

Phase B: Excel Spreadsheet Formatting Rules

Important Excel Formatting Instructions

  • No Table Headers: Do not include column headers (like "Name", "Mobile", "Date") in row 1. Row 1 must start immediately with the first customer's data.
  • Column 1 (Receiver Mobile Number): Must be the full mobile number with country code without spaces or dashes (e.g. 60123456789).
  • Column 2 (Parameter {1}): Replaces parameter {1} in your template (e.g. Customer Name).
  • Column 3 (Parameter {2}): Replaces parameter {2} in your template (e.g. Date / Appointment time).
  • CRITICAL: Set All Cell Formats to Text: Always select all data columns in Excel and set the format to Text before saving. If columns containing dates or OTP codes remain formatted as General or Date, Excel will convert dates into internal 5-digit numbers (e.g., converting 2026-09-22 into 46287), resulting in garbled text in the sent SMS.

Phase C: Launching Your Campaign

  1. Go to SMS Server > Send Personalised Message.
  2. Select your saved template from the dropdown menu.
  3. Enter a campaign title for tracking and click Next.
  4. Upload your prepared .xlsx or .csv recipient file.
  5. Preview the mapped records on screen.
  6. Best Practice Testing: Before blasting to large databases, always perform a small test blast with 1 to 2 numbers (your own and colleagues’ mobile phones) to confirm that dynamic fields and dates render properly on actual mobile devices.
  7. Click Confirm Blast. The campaign is queued with the standard 1-minute safety window allowing deletion if required.

6. Malaysian Telco & MCMC Compliance Guidelines

All outbound SMS traffic routed to Malaysian mobile numbers is subject to regulations mandated by the Malaysian Communications and Multimedia Commission (MCMC) and domestic mobile network operators (CelcomDigi, Maxis, U Mobile, etc.).

Essential Compliance Requirements:

  • Mandatory "RM0" Prefix: All promotional and bulk messaging must start with RM0 (indicating that the recipient is not charged for receiving the SMS).
  • Brand Name Identification: Your registered business name or brand name must appear clearly at the beginning of the message (e.g. RM0 BrandName: ...). Sending anonymous marketing SMS is strictly prohibited and subject to telco filtering.
  • Permitted Broadcasting Hours: In accordance with MCMC Consumer Code regulations, promotional and marketing SMS may only be dispatched between 8:00 AM and 10:00 PM (Malaysia Time, GMT+8). Messages scheduled outside these hours will be queued and released the following morning.
  • Character Limits & Multi-Part SMS Concatenation:
    • Standard GSM 7-bit (English characters): 1 SMS credit covers up to 160 characters. Messages exceeding 160 characters are concatenated into multi-part messages of 153 characters per part.
    • Unicode UCS-2 (Chinese, Tamil, Arabic, or Emojis): 1 SMS credit covers up to 70 characters. Messages exceeding 70 characters are concatenated into multi-part messages of 67 characters per part.
  • Opt-Out / Unsubscribe Option: Promotional broadcasts should include opt-out instructions (e.g. Reply STOP to opt out) to respect customer privacy and minimize spam reports.
